Dubsado’s workflow system is super robust and there are so many different things that you can do with them. If you browse through the workflow actions, you will see that there is an option for “After Form Not Completed” however, selecting it will not allow you to watch for the contract completion!

Thankfully, Dubsado allows us to run many different workflows on a project. This will allow us to create a short follow up workflow that will automatically follow up with the client and remind them that their contract is not complete. This is essentially a mini workflow that will pause as soon as the contract is complete.

The steps for this workflow are as follows:

  1.  Send Email x days after workflow starts (You can automate as many reminders as you want in whatever intervals you would like.)
  2. Pause workflow immediately after contract signed by client.

This will ensure that as soon as that contract is signed, no further emails will go out!

Pro Tip: Remember to add the smart field for the contract link or the client portal into any of the reminder emails you send so that the client can access them easily!

Once you have that workflow set up, you can go ahead and add a step in your main workflow to trigger this workflow to start automatically as soon as the contract is sent. The trigger is “Start a workflow”. You can see how it looks below:

And that’s it! Remember that Dubsado does not limit the amount of workflows you can have running on one project, so there should be no issue having this running with any other workflows you might need!
